Photography & Video Policy
Leigh & Westhoughton Ju Jitsu Clubs considers clear understanding of its policies to be fundamental to safeguarding, member confidence, and effective club governance. Members and parents/guardians are responsible for familiarising themselves with these policies and may request clarification from a member of the club team if required.
1. Acceptance of Terms
1.1 By granting consent at the point of registration, you acknowledge and agree to the following Photography & Video Policy. This consent forms part of your membership agreement.
1.2 Photography preferences can be updated at any time by editing your account details.
1.3 Failure to comply with this policy may result in disciplinary action, up to and including termination of membership.
2. Purpose of Photography & Video
2.1 Photography and video footage may be taken during club activities for the purpose of:
2.1.1 Promoting and marketing the club.
2.1.2 Celebrating achievements and participation.
2.1.3 Maintaining internal club records.
2.2 This may include (but is not limited to):
2.2.1 Classes and training sessions.
2.2.2 Gradings and competitions.
2.2.3 Events, demonstrations, and seminars.
2.2.4 Awards and recognitions.
2.2.5 Social and community activities.
3. Where Images & Footage May Be Used
3.1 Approved images and videos may be published, reproduced, and communicated across:
3.1.1 The Leigh & Westhoughton Ju Jitsu Clubs internal database and registers.
3.1.2 Official club social media platforms (including Facebook and other current or future platforms).
3.1.3 The club website.
3.1.4 Printed or digital marketing materials (e.g. posters, flyers, banners).
3.1.5 Any other published advertising or promotional media associated with the club.
4. Duration of Consent
4.1 This consent is granted for an indefinite period, unless withdrawn or amended by the member (or parent/guardian) via their account settings or by written request.
5. Safeguarding & Appropriate Use
5.1 Images and footage will be used respectfully and appropriately at all times.
5.2 No identifying personal details (such as full names, contact information, or addresses) will be published alongside images of children.
5.3 Photography and video will be taken in group or activity-based settings only.
5.4 Images will never be used in a way that could be considered inappropriate, exploitative, or misleading.
6. Storage & Security
6.1 Digital images and videos will be stored securely and accessed only by authorised club personnel.
6.2 Content will not be shared with third parties outside of legitimate club use.
7. GDPR Notice
7.1 All photographs and video recordings are processed in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
7.2 Leigh & Westhoughton Ju Jitsu Clubs acts as the Data Controller for the personal data contained within images and video footage.
7.3 The lawful basis for processing this data is consent.
7.4 Individuals (or parents/guardians on behalf of children) have the right to:
7.4.1 Withdraw consent at any time.
7.4.2 Request access to images or footage in which they appear.
7.4.3 Request rectification or erasure of images where appropriate.
7.4.4 Object to processing or request restriction of use.
7.5 Requests relating to data protection should be made in writing to the club. Reasonable efforts will be made to comply in line with UK GDPR requirements.
7.6 Content already published in printed or third-party media may not be immediately removable.
8. Member-Captured Photography & Video
8.1 For safeguarding and privacy reasons, members, parents, or spectators are not permitted to capture photography or video during classes, gradings, or events unless explicitly advised that it is acceptable to do so.
8.2 Where permission is granted, this will be clearly communicated by coaching staff.
8.3 The club reserves the right to request that any member-captured images or footage be:
8.3.1 Removed from social media or other platforms.
8.3.2 Not shared further.
8.4 Failure to comply with a reasonable request to remove such content, or repeated breaches of this policy, may result in disciplinary action, up to and including termination of membership.
9. Withdrawal or Amendment of Consent
9.1 Consent may be withdrawn or amended at any time by:
9.1.1 Updating photography preferences within your account details.
9.1.2 Submitting a written request to the club.
9.2 Upon receipt of such a request:
9.2.1 No new images or footage of the individual will be taken.
9.2.2 Reasonable efforts will be made to remove existing content from future use.
9.3 Previously printed or already published material may not be immediately retractable.
10. Right to Decline
10.1 Members or parents/guardians may choose to withhold consent without it affecting participation in classes or events.
10.2 Where consent is not granted, reasonable steps will be taken to ensure the individual is not included in photographs or video footage.
