Membership Terms & Conditions

Leigh & Westhoughton Ju Jitsu Clubs considers clear understanding of its policies to be fundamental to safeguarding, member confidence, and effective club governance. Members and parents/guardians are responsible for familiarising themselves with these policies and may request clarification from a member of the club team if required.

1. Acceptance of Terms

1.1 By registering as a member of Leigh & Westhoughton Ju Jitsu Clubs (LWJJC), or by enrolling a child as a member, you agree to be bound by these Membership Terms & Conditions together with all associated club policies.

1.2 These Terms & Conditions form a legally binding agreement between LWJJC and the member (or parent/guardian).

1.3 Membership is conditional upon acceptance of, and ongoing compliance with, all club policies.

2. Membership Eligibility

2.1 Membership is open only to individuals who meet the requirements for the relevant class.

2.1.1 Requirements may include age.

2.1.2 Requirements may include grade achieved within, or awarded by, LWJJC.

2.1.3 This list is not exhaustive.

2.2 Children under the age of 18 must be registered by a parent or legal guardian.

2.3 LWJJC reserves the right to refuse or revoke membership at its discretion where eligibility criteria are not met.

3. Membership Fees & Payments

3.1 Membership fees are payable in line with the conditions of the chosen membership.

3.2 Fees are non-refundable, except where required by law.

3.3 Failure to make payment may result in suspension or termination of membership.

3.4 LWJJC reserves the right to review and amend membership fees with reasonable notice.

4. Cancellations, Freezing & Termination by the Member

4.1 Membership cancellations must be submitted in line with the club’s stated cancellation process and membership conditions.

4.2 Notice periods, where applicable, must be observed.

4.3 Membership freezes are granted at the discretion of the club and may require supporting information.

4.4 Non-attendance does not constitute cancellation and does not remove payment obligations.

5. Termination or Suspension by the Club

5.1 LWJJC reserves the right to suspend or terminate membership without refund where:

5.1.1 Membership fees remain unpaid.

5.1.2 There is a breach of these Terms & Conditions or any club policy.

5.1.3 Behaviour is deemed unsafe, disruptive, abusive, or inappropriate.

5.1.4 Safeguarding concerns arise.

5.1.5 A member or parent/guardian fails to comply with reasonable instructions from coaching staff.

5.2 Termination decisions will be made in the interests of safety, welfare, and the club community.

6. Code of Conduct

6.1 All members, parents, and spectators must comply with the LWJJC Code of Conduct, including:

6.1.1 Treating coaches, officials, members, and spectators with respect.

6.1.2 Following all safety instructions during classes and events.

6.1.3 Refraining from bullying, harassment, discrimination, or aggressive behaviour.

6.2 Failure to comply may result in disciplinary action, suspension, or termination of membership.

7. Safeguarding & Child Protection

7.1 LWJJC is committed to safeguarding children and vulnerable adults.

7.2 All safeguarding concerns must be reported promptly to the club.

7.3 The club may involve external agencies where required.

7.4 Failure to comply with safeguarding expectations may result in immediate suspension or termination of membership.

8. Health, Safety & Fitness to Train

8.1 Members train at their own risk and must ensure they are medically fit to participate.

8.2 All injuries, medical conditions, or changes to health must be disclosed to coaching staff and kept up to date in the member’s profile.

8.2.1 This responsibility rests with the student, parent, or guardian.

8.3 Members must follow safety instructions at all times.

8.4 LWJJC accepts no liability for injuries sustained where instructions are ignored or information is withheld, except where required by law.

9. Photography & Video

9.1 Consent for photography and video is provided at registration and forms part of these Terms & Conditions.

9.2 Photography preferences may be updated via account details at any time.

9.3 Members, parents, or spectators may not capture photography or video unless explicitly permitted.

9.4 LWJJC reserves the right to request removal of unauthorised content.

9.5 Failure to comply may result in disciplinary action, up to and including termination of membership.

Photography & Video Policy

1. Acceptance of Terms

1.1 By granting consent at the point of registration, you acknowledge and agree to the following Photography & Video Policy. This consent forms part of your membership agreement.

1.2 Photography preferences can be updated at any time by editing your account details.

1.3 Failure to comply with this policy may result in disciplinary action, up to and including termination of membership.

2. Purpose of Photography & Video

2.1 Photography and video footage may be taken during club activities for the purpose of:

2.1.1 Promoting and marketing the club.

2.1.2 Celebrating achievements and participation.

2.1.3 Maintaining internal club records.

2.2 This may include (but is not limited to):

2.2.1 Classes and training sessions.

2.2.2 Gradings and competitions.

2.2.3 Events, demonstrations, and seminars.

2.2.4 Awards and recognitions.

2.2.5 Social and community activities.

3. Where Images & Footage May Be Used

3.1 Approved images and videos may be published, reproduced, and communicated across:

3.1.1 The Leigh & Westhoughton Ju Jitsu Clubs internal database and registers.

3.1.2 Official club social media platforms (including Facebook and other current or future platforms).

3.1.3 The club website.

3.1.4 Printed or digital marketing materials (e.g. posters, flyers, banners).

3.1.5 Any other published advertising or promotional media associated with the club.

4. Duration of Consent

4.1 This consent is granted for an indefinite period, unless withdrawn or amended by the member (or parent/guardian) via their account settings or by written request.

5. Safeguarding & Appropriate Use

5.1 Images and footage will be used respectfully and appropriately at all times.

5.2 No identifying personal details (such as full names, contact information, or addresses) will be published alongside images of children.

5.3 Photography and video will be taken in group or activity-based settings only.

5.4 Images will never be used in a way that could be considered inappropriate, exploitative, or misleading.

6. Storage & Security

6.1 Digital images and videos will be stored securely and accessed only by authorised club personnel.

6.2 Content will not be shared with third parties outside of legitimate club use.

7. GDPR Notice

7.1 All photographs and video recordings are processed in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

7.2 Leigh & Westhoughton Ju Jitsu Clubs acts as the Data Controller for the personal data contained within images and video footage.

7.3 The lawful basis for processing this data is consent.

7.4 Individuals (or parents/guardians on behalf of children) have the right to:

7.4.1 Withdraw consent at any time.

7.4.2 Request access to images or footage in which they appear.

7.4.3 Request rectification or erasure of images where appropriate.

7.4.4 Object to processing or request restriction of use.

7.5 Requests relating to data protection should be made in writing to the club. Reasonable efforts will be made to comply in line with UK GDPR requirements.

7.6 Content already published in printed or third-party media may not be immediately removable.

8. Member-Captured Photography & Video

8.1 For safeguarding and privacy reasons, members, parents, or spectators are not permitted to capture photography or video during classes, gradings, or events unless explicitly advised that it is acceptable to do so.

8.2 Where permission is granted, this will be clearly communicated by coaching staff.

8.3 The club reserves the right to request that any member-captured images or footage be:

8.3.1 Removed from social media or other platforms.

8.3.2 Not shared further.

8.4 Failure to comply with a reasonable request to remove such content, or repeated breaches of this policy, may result in disciplinary action, up to and including termination of membership.

9. Withdrawal or Amendment of Consent

9.1 Consent may be withdrawn or amended at any time by:

9.1.1 Updating photography preferences within your account details.

9.1.2 Submitting a written request to the club.

9.2 Upon receipt of such a request:

9.2.1 No new images or footage of the individual will be taken.

9.2.2 Reasonable efforts will be made to remove existing content from future use.

9.3 Previously printed or already published material may not be immediately retractable.

10. Right to Decline

10.1 Members or parents/guardians may choose to withhold consent without it affecting participation in classes or events.

10.2 Where consent is not granted, reasonable steps will be taken to ensure the individual is not included in photographs or video footage.

Physical Activity Readiness declaration (PAR-Q)

1. Purpose of This Declaration

1.1 This Physical Activity Readiness declaration (PAR-Q) is a confirmation of fitness to participate in martial arts training at Leigh & Westhoughton Ju Jitsu Clubs (LWJJC).

1.2 This declaration does not provide medical advice and does not replace consultation with a qualified medical professional.

1.3 Agreement to this declaration is a condition of membership.

2. Declaration of Fitness to Train

2.1 By agreeing to this declaration, the member (or parent/guardian on behalf of a child) confirms that they have considered current health, fitness, and medical status and believe the member to be physically fit and safe to participate in martial arts training.

2.2 The member (or parent/guardian) confirms they are not aware of any medical condition, injury, or restriction that would make participation unsafe without prior medical advice.

2.3 It is acknowledged that martial arts training involves physical contact, exertion, and inherent risk.

3. Ongoing Responsibility

3.1 Responsibility for fitness to train rests with the member (or parent/guardian).

3.2 The member (or parent/guardian) agrees to inform Leigh & Westhoughton Ju Jitsu Clubs without delay of any change in health, injury, or medical condition that may affect safe participation.

4. Limitation and Consequences

4.1 Failure to disclose relevant information may place the member or others at risk.

4.2 Failure to disclose relevant information may result in modification, suspension, or termination of membership.

4.3 This declaration forms part of the Leigh & Westhoughton Ju Jitsu Clubs Membership Terms & Conditions.
